Chapter I: General Provisions
Article 1 In order to establish a good corporate image of the company, cultivate a noble company culture, improve the quality of employees, optimize the feelings of employees, create a clean, orderly, comfortable and safe office environment, and be more conducive to the development of the company's work, this specification is formulated.
Article 2 This code is the standard that all employees of the company must abide by, the standard for evaluating the professional behavior of employees, and the basis for standardizing the behavior of employees. Leaders at all levels of the company should lead by example, abide by the daily code of conduct with employees, and shape a good corporate image of the company.
Article 3 This specification applies to all employees of XX Co., Ltd. (hereinafter referred to as "the Company") and its branches and subsidiaries (including all affiliated companies such as first-level subsidiaries, second-level subsidiaries and subsidiaries of subsidiaries).
Chapter II: Basic Principles
Article 4 The company advocates the professional ethics of pragmatic cooperation, honesty and dedication, and requires all employees to consciously abide by the company's rules and regulations and act in strict accordance with the system.
Article 5 The company encourages employees to work creatively and puts forward reasonable suggestions. The assigned tasks should be completed on time, with quality and quantity. If there are different opinions in the work, the work task should be the priority, adhere to the principle of implementation first, then communication, and then communicate with the supervisor and leader, and the work shall not be affected by different opinions.
Article 6 Employees should have the awareness of obeying the company's arrangement, receiving instructions from superiors, and taking the initiative to report work, and should follow the management process to ensure that all work is implemented.
Chapter III: Professional Ethics
Article 7 Love their own work, correct their own conduct, improve their personal accomplishment, enhance their sense of collective honor, and establish a positive work attitude.
Article 8 Code of Professional Ethics and Conduct for Employees
1. During working hours, you are not allowed to leave your post without authorization, and when you go out during working hours, you need to ask your superior supervisor and register at the front desk after obtaining your consent, otherwise you will be deemed to have left your post without authorization and will be treated as absenteeism.
2. Do not use the company's assets for personal gain, and do not engage in affairs unrelated to work during working hours.
3. Without permission, it is strictly forbidden to bring out personnel into the work area or let outsiders use public goods.
4. It is strictly forbidden to promote non-company items in the company without permission.
5. Rebates or commissions shall not be collected in external business contacts.
6. In external business contacts, bribes must not be offered to others.
7. It is forbidden to take advantage of one's position or work to solicit money from others or to seek personal gain for one's relatives and friends.
8. Do not embezzle public funds or steal or deliberately damage the company or other people's property.
9. Employees who violate the above-mentioned items 4 to 7 of the code of professional ethics shall be deemed to have seriously violated the company's rules and regulations, and the company may unconditionally terminate the labor relationship with them, and if it involves administrative penalties or criminal offenses, it shall be transferred to the relevant departments for investigation of their corresponding legal responsibilities.
Chapter IV: Code of Conduct
Article 9 Discipline
1. All employees should consciously abide by labor discipline, commute to and from work in strict accordance with the company's attendance time, not be late, not leave early, not leave their posts, and strictly follow the company's attendance system.
2. Obey the superior leadership, be loyal to their duties, complete their own work on time, maintain the company's public order, and strive to create good social benefits while creating economic benefits for the company.
3. Be responsible for your own words and behaviors, pay attention to maintaining unity and mutual assistance among colleagues, actively cooperate, and do not allow rough treatment or insults to colleagues, customers or others.
Fourth, non-work needs, shall not be arbitrarily crossed, and personal drawers or filing cabinets shall not be opened at will without permission.
5. During working hours, it is forbidden to browse web pages, videos, play mobile phones, etc., make loud noises, gather people to chat, and play cards, chess and other similar entertainment activities in the office area.
6. Meals are strictly forbidden during working hours (e.g., breakfast after 09:00, lunch before 12:00/after 13:30).
Article 10 Dress
1. In order to establish a unified and standardized corporate image of the company, enhance corporate culture, and strengthen enterprise management, all employees need to dress uniformly.
2. All employees of the company must wear uniforms (cultural shirts) during work, with the approval of leaders or department leaders, except for special work or participation in the company's major etiquette reception.
3. The work clothes must be worn by the person, and the style shall not be changed, and once found, the party shall be fined three times the equivalent price.
4. Working clothes: Monday to Thursday; Casual on Fridays.
5. You must wear a badge during working hours, and you can't cover it with a coat, let alone hold it in your hands or put it in your pocket.
Article 11 Meetings
1. All meetings should be held in accordance with the principle of "streamlined, efficient, pragmatic and economical"; And in line with the rule of "small meetings obey the general assembly, parts obey the whole, and temporary meetings obey the regular meeting". (This does not apply to emergency meetings organized to deal with emergencies)
2. During the meeting, the mobile phone is set to silent or vibrate mode, and it is forbidden to answer the phone, send text messages, talk to each other, whisper or behave indecently during the meeting, and do not leave the seat in the middle of the meeting.
3. The organization department of the meeting should fully review and prepare for the content and topics of the meeting before the meeting, based on the efficient meeting, short meeting, and actual meeting, and strive to avoid formalism and discussion without decision, resulting in a waste of manpower, material resources and time.
Fourth, strictly implement the meeting leave system, if the meeting personnel are unable to attend the meeting due to special reasons, with the approval of the leader presiding over the meeting, the relevant personnel can participate in the meeting on their behalf, and it is forbidden to be absent from the meeting or the representative meeting without reason.
5. If there is any confidential matter in the content of the meeting, the participants must strictly abide by the confidentiality discipline.
Sixth, the morning meeting norms
The morning meeting starts on time at 9:00 on the first working day of each week, and the responsible personnel of the administrative department and the presiding officer on duty should update the relevant data/information of the meeting before the meeting, and all employees must participate (except for those who ask for leave from the personnel department in advance according to the regulations), and it is forbidden to be late for no reason (normal attendance), absent, due to work outing, special circumstances can not attend the meeting, should ask for leave from the superior supervisor in advance, and the superior will report the actual attendance situation to the center morning meeting attendance personnel.
Article 12 Mail
1. On the day of entry, the human resources department will enter the email address of the employee into the HR system, and the mailbox will be automatically opened synchronously; On the day when the employee goes through the resignation procedures, the human resources department will summarize the relevant information of the departing employee to the technical department, and the technical department shall cancel the right to use the company mailbox of the departing employee within 24 hours on the working day.
2. The mailbox and mail payment must be uniformly signed using the company's template; It is forbidden to use the company email address to send and receive non-work-related letters.
3. After receiving the email sent to the mailbox, if the subject of the email involves the words "direct reply is not allowed", it is forbidden to reply directly; For emails that do not indicate whether direct reply is allowed, no reply shall prevail; For messages that clearly state that you can reply directly, you need to delete the attachment in the original text when replying.
Fourth, for formal or serious work communication, the use of corporate mail or in the form of written documents for docking.
Article 13 Office area environment
1. Smoking is prohibited in the whole office area (if necessary, please move to the smoking area)
2. Keep the environment inside and outside the toilet clean and tidy, the air is fresh, and the garbage is put into the basket.
3. It is strictly forbidden to pour leftovers, leftovers, tea and other residues into the wash basin in public toilets and pantries and put them in the trash can if necessary.
Fourth, it is strictly forbidden to place the refrigerator items in the pantry overnight, if necessary, please mark your name, and take the overnight items as soon as possible.
5. It is strictly forbidden to idle the microwave oven, please turn it off in time after use. If sprayed, please clean it up in time to avoid affecting the next use.
6. When using microwave ovens and water dispensers, please use them correctly and safely, and be careful of burns.
7. It is forbidden to place personal belongings in the front desk area.
8. It is forbidden to make loud noises and talk loudly in the office area.
9. The conference room is specially set up for the company's meeting and discussion, and it is strictly forbidden to use the conference room to deal with private matters. Without permission, it is not allowed to be used privately, let alone close doors and windows.
10. It is strictly forbidden to pile up personal items such as lunch break beds in the office corridor.
11. It is forbidden to maliciously destroy office supplies, the air conditioning in the office area should be kept at a constant temperature of not less than 25 °C, and the curtains are not allowed to be adjusted by themselves. The administrative department is responsible for unified management (if you need to request administrative front desk or security assistance).
12. The printer is forbidden to print documents outside the company.
13. Pay attention to environmental protection, save paper and save resources. If there are no special requirements, please print in black and white on both sides or reuse it in a loop.
14. Strictly keep the company's information security, the office computer needs to set a password, and please lock the computer screen when leaving the workstation.
15. It is strictly forbidden to pull the wire in the office area without permission, connect the power supply privately, etc., if necessary, please apply to the Administration Department.
16. It is forbidden to boil water or place tea sets at the station, if necessary, please move to the pantry.
17. The last employees to leave the post, please check the office area by themselves, and pay attention to turning off all air conditioners, lights, windows, etc.
18. Employees should pay attention to cleaning and tidying up their personal office areas, and keep their desktops clean and orderly. Computers and monitors should be turned off after hours.
19. The display screen in public areas (including large conference rooms) should be switched on and off regularly every day, public seats should be placed neatly, desktop brochures should be placed in an orderly manner, and the surface of tables and chairs should be free of dust (including vacant desks/card seats, and their equipment should be placed in an orderly manner without other sundries).
20. It is strictly forbidden to place important information (such as ID card, company license, customer related information, etc.) in public areas (including photocopiers, fax machines, etc.), such as printing and faxing, the materials must be taken within 20 minutes.
21. It is strictly forbidden to discard invalid documents on the desktop at will, and invalid documents that store important information must be treated irretrievably.
22. The filing cabinet should be kept clean and tidy, the documents should be placed in a neat and orderly manner, and the locked key should be kept by a special person.
Article 14 Workplace safety and fire protection
1. Employees must comply with safety, fire prevention and anti-theft regulations, and the use of open flames is strictly prohibited in the office area.
2. Employees are forbidden to use high-power electrical appliances such as induction cookers, rice cookers, and heaters in the office without permission.
3. The Administration Department will regularly inspect and eliminate potential safety hazards in the office, and the fire-fighting equipment can be effectively used, and the passage is unobstructed and clearly marked; There is no abnormality in the monitoring equipment.
4. If there is a visit from an outsider during non-working hours, the receptionist must ask about the reason for the visit and convey the relevant interviewee, and accompany the outsider to wait at the front desk until the receptionist can leave after the interviewee is connected.
5. Those who are prohibited from entering the company or ordered to leave under the following circumstances:
(1) Carrying weapons, flammable and explosive materials, and other dangerous goods that are not necessary for work;
(2) Those who are considered to have seriously affected health;
(3) Those who are alcoholic or have the smell of alcohol;
(4) Those who obstruct work or disrupt the company's order and discipline or are otherwise suspected;
(5) Other similar provisions of the above provisions.
Article 15 Confidentiality
1. Employees are obliged to keep the company's secrets and properly keep the confidential documents in their possession. Without authorization or approval, it is not allowed to provide the company's confidential documents, business policies and strategies, salaries, project information, supplier information, customer information, partners, etc. business information, purchase prices, and other undisclosed business conditions, business data, financial data, etc.
2. It is forbidden to copy the company's documents without permission or take them out of the company without permission.
3. Employees must return all data, documents, drawings, materials or any other originals/copies/copies before leaving the company.
4. Employees' confidentiality obligations are implemented in the "Confidentiality System" issued by the company.
Article 16 Specifications for the use of IT office and communication platforms
1. It is forbidden for the company's equipment or network to browse websites that are not related to work (such as stocks, dating, chatting, games, etc.), or download software that is not related to work (such as movies, music, games, etc.).
2. It is forbidden to install unauthorized software on the company's computer, and if necessary, it can be applied to the information department through the administrative department.
3. If the hardware equipment fails in the process of use, it can apply to the Administration Department, and the Administration Department will deploy and replace it in a unified manner.
4. It is forbidden to use other people's accounts to log in to the company's business systems without permission, and the relevant accounts should be returned when the position is changed or resigned.
5. On the first working day of each month, all employees must replace the desktop of their personal office computers, and the display surfaces of public areas and conference rooms shall be replaced by IT professionals (the unified desktop version shall be provided to the front desk by the production (brand) department).
6. After the company's office communication tool is opened, the personal information must be completed in a timely manner:
(1) The photo must be taken according to the company's requirements;
(2) You must fill in the office landline number, mobile phone number, and company email address.
Article 17 Employees shall not engage in the following activities without the authorization and approval of the company's legal representative or department leader:
(1) Negotiate and sign contracts with foreign parties in the name of the company;
(2) Providing external guarantees or certificates in the name of the company;
(3) Expressing opinions/information on news media and websites in the name of the company;
(4) Attend public events on behalf of the company.
Article 18 The Company prohibits part-time employment under the following circumstances:
(1) Using working hours or company resources to engage in part-time work;
(2) Part-time employment with the company's business-related units or business competitors;
(3) The part-time work constitutes commercial competition for the unit;
(4) Affecting one's own work or damaging the company's image due to part-time employment.
Chapter IV: Inspections and Punishments
Article 19 Responsible authority: human resources administrative department.
Article 20 Penalty provisions: Inspect the code of conduct of employees from time to time, except for special provisions in this code, if employees are found to have violated the professional ethics or code of conduct of this code, employees will be fined 50 yuan / time; If there are three violations in the department in a month, the person in charge of the department will be fined 200 yuan; If it causes certain economic losses or negative impacts to the company, the company will investigate its corresponding legal responsibilities.
If the provisions of this Code on employee punishment are inconsistent with other rules and regulations of the company, this Code shall prevail. For matters not specified in this code, the provisions of other rules and regulations of the company shall apply.
Chapter V: Supplementary Provisions
Article 21: These Specifications shall be implemented from the date of issuance.
Article 22 The Human Resources Administration Center is responsible for formulating, revising and interpreting these Norms.
Article 23 For matters not covered in this specification, the relevant national laws, regulations and relevant provisions of the company shall be implemented.
